Administrative Officer (Level 3) Job at Sydney Local Health District AU

Job Responsibilities

  • Provide a high level of secretarial support to a variety of health professionals such as nursing and allied health within the Veterans Day Centre which include but are not limited to: Routine Administration Activities:
  • Typing/Drafting of reports, letters, memorandums, briefs, DVA reports, diet lists, admissions,
  • correspondence, procedure manuals, patient guidelines and the performance of various clerical associated with secretarial support. Reception Duties Reception of patients and visitors including answering enquiries, admissions, discharges and readmissions
  • Liaise with external transport companies to arrange inbound and outbound transport as well as bus trip transport
  • Medical Records Management
  • Admit and discharge patients using eMR
  • Utilize the patient registration system eMR Cerner and making up of medical sub-files and transferring of closed sub-folders whist maintaining guidelines pertaining to privacy and confidentiality
  • Data Entry and reporting Data entry for the Veterans Day Centre including regularly update the roster in line with approved changes, entering information onto the HR IT system once approved.
  • Assist the Program Director in producing reports on finance and patient statistics. Workforce Matters
  • Assist the Program Director with workforce matters including rostering, recruitment, leave and payroll.
  • Tasks in this regard may include – Liaising with Health Support Services to clarify pay and leav enquiries. Resource Management
  • Ensure the team has adequate stock of supplies and equipment when required by the team to perform their day to day duties Documentation/Records Management
  • Support and participate in the administrative aspects of activities such as Work Health and Safety profiling, quality accreditation processes and incident management.
  • Assist the health care team in obtaining information, reports or correspondence related to client care. Screening/recording of intakes/referrals
  • Documenting information over the phone or by written referral.

Job Requirement

  • Required to identify, assess, eliminate/control, and monitor hazards and risks within the workplace to the extent of the delegated authority for the role, as per Work Health Safety policy.
  • Required to support and contribute to the Patient and Family Centered Care approach to healthcare
    delivery
  • Secretarial experience and accurate fast word processing and audio-typing skills.
  • Sound knowledge on medical terminologies or willingness to attend a course.
  • Ability to priorities and meet deadlines.
  • Excellent verbal and written communication skills.
  • High degree of initiative.
  • Demonstrated ability to work as a part of a team and/or to work without supervision.
  • Flexibility to cover the leave requirements of other administration staff.
  • Ability to communicate effectively with the public.
