Job Responsibilities

As the Executive Officer, you’ll provide high level executive support to the Director of Properties and Facilities, the senior management team and facilitate the functioning of the Director’s office to achieve the directorate’s objectives. You’ll operate with a sound understanding of the priorities, protocols and activities of the directorate to support strategic planning initiatives, special projects and the development of key documentation.

  • Regularly communicating with senior officers of the university, external stakeholders and exercising a high degree of confidentiality and discretion.
  • Providing secretarial support for committee meetings and other meetings as required and following up on actions to ensure deadlines are met.
  • Arranging meetings, conferences and/or events relating to organisational unit activities or Corporate Services initiatives.
  • Monitoring and maintaining the Office of the Director’s annual budget, whilst ensuring accuracy and appropriate documentation.
  • Preparing, editing and sending communications and correspondence on behalf of the Director and preparing HR documentation.
  • Providing confidential administrative support to the director, including diary management, travel arrangements, general technology assistance and proof reading reports and documents.

Job Requirement

  • Tertiary qualifications and/or extensive administrative experience, including experience in an executive support role for a senior manager/management team.
  • High level of computer literacy, databases and familiarity with the use of financial accounting systems.
  • Excellent planning, time management and organisational skills, with the ability to achieve required outcomes and meet deadlines in a high-pressure environment.
  • Excellent communication and interpersonal skills as demonstrated by the ability to deal directly with people at all levels within and outside an organisation.
  • Demonstrated high level of attention to detail and accuracy in work tasks
