Job Responsibilities 

  • Answer the telephone in professional and friendly manner so that callers feel welcomed, valued and understood
  • Channel telephone callers to the appropriate person
  • Welcome visitors and guests and direct appropriately
  • Handle all enquiries in a pleasant and accommodating fashion
  • Convey messages to relevant people in a pre-determined manner
  • Ensure all visitors are signed in appropriately for safety & security purposes
  • Maintain cleanliness of staff kitchen. Includes, but not limited to, maintaining cleanliness of coffee machine, staff fridge and dishwashers.
  • Receive, sort, distribute and despatch all mail, couriers and emails in a timely and cost-efficient manner as per agreed policy and procedure
  • Maintain incoming/outgoing mail logs
  • Co-ordinate the monthly signing and sending of birthday cards
  • Personally deliver urgent documents as required
  • As delegated by the Executive Assistant, support employees in clerical, administrative and organisational matters
  • Ensure the stationery & post rooms, reception, kitchen, boardroom and other meeting areas are clean and tidy at all times
  • Maintain an accurate and up to date Corporate Office telephone list, distributing as appropriate
  • Organise lunch and leave cover for reception
  • Filing, binding, record keeping and other administrative tasks as delegated

Job Requirement

  • Administrative Qualifications (preferred)
  • Proven excellent communication and networking skills with the ability to build and maintain relationships, and to coach and support employees
  • Planning and organisation skills to manage workloads and priorities
  • Proficiency in Microsoft Office, including MS Word, Excel and Outlook
  • Strong administration skills – organised, thorough, systems oriented with meticulous attention to detail
  • Professional corporate presentation with a high level of grooming
  • A positive and friendly demeanour
  • Strong customer service focus
  • Ability to deal with difficult phone calls while maintaining composure and professionalism
  • Excellent telephone manner
  • A professional approach to duties and colleagues
  • Strong client focus with a commitment to excellence
  • Evidence of good health and ability to cope with varying demands
